The customer service AI agents worth building are the ones that resolve a contact end to end: checking an order, issuing a refund within policy, changing a plan or rebooking a delivery, then closing the ticket with a note. Start with your highest-volume contact reason that has a clear policy, give the agent narrow tools and a fast handoff to a person, and measure resolution, not deflection.
This guide covers eleven agents across chat, email, voice and the work behind the queue. For each you get what it does, the systems it connects to, the data it needs, where people stay in control and how to measure it. If your current bot only answers FAQs, read AI agents vs chatbots to see what changes when it can act.
About the numbers. Team shapes and durations are illustrative planning assumptions, not quotes. Costs use only Ryz's public rates: mid-level engineers $7,000 to $10,000, senior engineers $10,000 to $15,000 and tech leads $15,000 and up per engineer per month, quoted per team, with ranges at the $15,000 lead floor.
A bot that answers "how do I return an item?" with a help article has deflected a ticket, but the customer still has to do the return. An agent that looks up the order, checks the return window, creates the return label and emails it has resolved the contact. The difference shows up in repeat contacts: deflected customers come back, resolved ones do not. Every agent below is measured on whether the customer's problem is gone, and every one has a path to a person that carries the full context so the customer never repeats themselves.
Before any automation, get the routing right. The agent reads each new email, chat or form submission, identifies intent, product, language, sentiment and urgency, pulls the customer's tier and open orders, and routes it to the right queue or automated flow with tags and a one-line summary.
"Where is my order?" is the top contact reason for most commerce and logistics businesses. The agent authenticates the customer, finds the order, checks carrier tracking, explains the status in plain words and, when a shipment is stuck, opens a carrier trace or offers the options your policy allows (wait, reship, refund).
The agent checks eligibility (return window, item condition rules, final-sale flags), issues the return authorization and label, and processes refunds or store credit when the item is received. For "item never arrived" or "arrived damaged" claims it gathers photos and order history before deciding or escalating.
Plan upgrades and downgrades, address and payment method updates, invoice copies, cancellation requests. The agent verifies identity, makes the change through the billing system's API and confirms in writing. Cancellation requests get your approved retention options once, then the cancellation is processed if the customer still wants it.
Voice agents combine speech recognition, a language model, the same tools as the chat agent and text-to-speech, so callers can resolve the same intents on the phone. Good ones handle interruptions, confirm key details back and transfer to a person with a summary when the caller asks or the agent is unsure.
Our pods have built this. A Ryz pod built an AI driver-support agent that covers roughly 218,000 driver calls a year in three languages, with about a 95% reduction in per-call cost according to the live driver-support case study. For more on the voice stack, see AI voice agent development.
Rather than staffing every language, the agent detects the customer's language, works the case in it, and writes internal notes in the working language of your support staff so supervisors can review. Human agents can reply in their own language and have the response translated with your terminology.
For contacts that need a person, the agent sits beside the human: it summarizes the history, pulls the relevant policy, suggests the next action and drafts the reply. The person edits and sends. This is often the fastest win because no automated message reaches a customer.
The agent clusters recent tickets the knowledge base could not answer, finds articles that are out of date with current policy, and drafts new or revised articles from the resolutions your best agents wrote.
QA teams typically review a sample of conversations. The agent scores every conversation, human and automated, against your rubric (greeting, verification, policy followed, correct resolution, tone) and surfaces the ones a QA analyst should read.
Some contacts carry risk: legal threats, safety issues, regulator mentions, chargeback threats, posts going viral. The agent watches every channel for these signals, opens a priority case with the right owner and freezes automated replies on that customer until a person takes over.
When an outage, recall or delayed shipment wave hits, the agent identifies affected customers, drafts a message for approval, sends it in their channel and language, and answers follow-up questions from the incident's approved facts.
Help desk platforms now ship capable AI agents: Zendesk AI agents, Salesforce Agentforce, Intercom Fin and several specialist vendors. If your top contact reasons are answerable from your help center and need one or two standard actions in the same platform, buy and configure. You will be live faster and the vendor carries the maintenance.
Build, or build the tools a bought agent calls, when:
A common middle path is to keep the vendor's agent on the front end and have your engineers build MCP servers or APIs that expose your internal systems to it safely.
Cost is team size times months times monthly rate. Durations are illustrative planning assumptions.
Telephony, model and cloud usage are billed by those providers in your accounts and are not included. See the AI development cost guide for how these ranges move.
Ryz Labs AI pod teams build service agents in your cloud and repos, working on your team with your support operations leads, on US business hours. Our pods have shipped voice and support agents to production, including an AI voice platform that has placed more than a million outbound calls. You meet the named engineers first and own all code and IP. If a help desk vendor's agent covers your top intents, use it; bring us in for the integrations and channels it cannot reach. See AI agent development or hire AI voice agent developers.
It is a system that uses a language model plus tools connected to your order, billing and help desk systems to resolve a customer's request end to end, such as processing a return or changing a plan, and hands off to a person with full context when it cannot.
Pick a high-volume contact reason with a clear written policy and a system you can act in through an API. Order status, returns, appointment changes and plan changes are common first choices.
Enforce limits in the refund tool itself: maximum amounts, per-customer and daily caps, and eligibility checks against order data. Accounts with abuse signals always go to a person, and a weekly sample of automated refunds is audited.
Disclosure is the safe default and is required in some places and channels, including some rules on AI-generated voices in calls. Ask your counsel which rules apply to your channels and markets, and make the handoff to a person easy.
Yes. Agents connect through the help desk's APIs and apps framework, and can sit in front of or beside human queues. The bigger work is usually connecting to the systems where the resolution happens, such as order management or billing.
